The Role
Our Executive Personal Assistant forms the crucial backbone supporting our client’s busiest leaders. We go beyond basic support, proactively building positive relationships and anticipating needs. The dedication to assisting others makes this profile an indispensable asset to the company.
As an Executive Personal Assistant, you will manage diverse professional responsibilities, including calendaring, travel, and expenses. Your exceptional organizational skills will be key to enabling those you support to achieve maximum productivity and impact. You will consistently demonstrate excellent communication, exercising tact and diplomacy to foster strong relationships with both internal and external senior team members. Furthermore, this role demands sound judgment and critical thinking to effectively prioritize competing demands and act accordingly.
Core Responsibilities
- Provide administrative support to a portfolio of individuals/teams across the business.
- Handle sophisticated calendars in a fast-paced environment, and prioritize commitments to enhance time and productivity.
- Book travel arrangements (domestic and international).
- Track and process expense reports.
- Help plan, support, and complete office events and external gatherings.
- Work both autonomously and in collaboration with teammates, colleagues, and external contacts.
- Export organization and order into disorganized environments
- Handle various matters with discretion and diplomacy
- Maintain records of business and personal transactions and submit expense reports
What we require
- At least one or two years of previous administrative or support experience, preferably in a fast-paced environment
- Proficiency with Microsoft Office suite, especially Outlook calendaring
- Experience scheduling complex international and domestic travel itineraries, including booking and expense reporting
- Ability to work a varied schedule, and willingness to travel up to 30% of the time both domestically and internationally
